AIAWHV EXPO20 postponed
Out of an abundance of caution and public health concerns regarding the coronavirus (COVID-19), and to prioritize the safety of our attendees, speakers and exhibitors, the AIA WHV has made the decision to postpone the Expo20, at the Westchester Marriott, from March 19, 2020 to a future date.
This decision comes after careful consideration and consultation with our partners. Our number one concern is the safety of our community of attendees. There are known cases of COVID-19 in New York State, including Westchester County, and cases have been reported as a result of person-to-person spread. The virus is thought to spread mainly between people who are in close contact with one another (within about 6 feet), and this would put all of those attending at risk.
We understand this decision will impact all those involved and please note this decision was not made lightly. We sincerely apologize for the inconvenience it causes each of you.

EXHIBITORS:
Exhibit Spaces
Single space: approximately 8’ wide x 8’ deep, with up to one (1) 6’ long table. Also included: listing in event program and allowance for two (2) exhibitor meals.
Double space: approx. 16’ wide x 16’ deep, with up to two (2) 6’ long tables, and will be assigned preferential locations. Also included: preferred listing in event program and allowance for four (4) exhibitor meals.
Electrical receptacles are available, bring extension cords and fused power strips.
AIA Westchester + Hudson Valley will provide an overall exhibit hall layout conducive to maximizing exposure between participants and exhibitors.
Passport Booths
All attendees will be given a passport card with passport booth logos. Attendees will visit those booth locations to receive a signature. Once passport card is full they will turn in to enter into drawings.

Set-up / Breakdown
Exhibitor set-up will begin at 1:00 pm day of the event. Exhibits must be disassembled and removed from exhibit space by 9:30 pm. Any exhibitors who desire to drop, ship, or store materials must make all necessary arrangements directly with the event venue. All materials not removed by the exhibitor will be considered disposable. Any additional disposal charges will be the responsibility of the exhibitor.
Common Courtesies
Please show respect for the event and fellow exhibitors. Have set-up complete prior to start, and remain operational until completion of the event unless otherwise directed. Be a good neighbor throughout the event.
Vendor Responsibilities
All advertising/promotion shall be in good taste; (our judgment shall be final.) The facility will not be available to store perishable products for display. Promotional alcoholic beverages are subject to facility approval. Only the designated spaces shall be used for product and service promotion.
